Enterprise use case · Workday + Okta + OpenAI

Leaver summary for handover

Employment and identity records are reviewed separately, leaving uncertainty about what must be handed over or checked. Handover owners receive a source-linked summary of known responsibilities and recorded access before departure actions are approved.

The model step runs against the AI provider you choose, including Anthropic, Google Gemini or a model you host yourself. Anything outside a pre-built action runs through an API, protocol or database call, or as Rules + Code in Python, Bash, Go, Java, .NET, PHP, PowerShell or JavaScript/TypeScript, with the same approvals and audit.

How it starts: An authorized HR owner confirms a departure or releases its handover preparation in Workday.

Step by step

How the process runs

  1. 01

    Establish the departure scope

Read the permitted Workday employment details, manager and effective date for the approved handover purpose.

  2. 02

    Gather recorded access

Read the relevant Okta user, group, role and event context available to the authorized workflow.

  3. 03

    Summarize responsibilities

The selected model organizes the available records into handover topics, recorded access and unresolved questions, citing the source for each item.

  4. 04

    Validate with the owner

The manager reviews the proposed handover list and adds responsibilities or open work that the connected records cannot establish.

  5. 05

    Release approved identity work

A separate Okta step applies only the access changes approved for the specified identity and effective time.

Control

Human decision and exception path

Human decision

The named manager validates the handover scope, and the authorized identity owner approves each access change. The model cannot decide which account to disable, who inherits access or whether an unlisted application has been removed.

Exception path

  • Ambiguous worker-to-identity matches hold the file before any access action.
  • Missing responsibilities or application coverage are listed as unknown, not evidence that no work or access remains.
  • Changed departure dates or cancelled leaver events return the related handover and access plan for review.

Evidence

What gets audited

  • Approved departure event and effective date.
  • Permitted Workday and Okta references used by the model.
  • Summary, explicit coverage gaps and manager corrections.
  • Access approvals and the corresponding Okta responses.

FAQ

Questions about this use case

Does Nexus replace any of these systems?
No. Each system keeps its own records. Nexus runs the process between them and records each decision.
How does the run start?
An authorized HR owner confirms a departure or releases its handover preparation in Workday.
What if a step is not covered by a pre-built action?
The model step runs against the AI provider you choose, including Anthropic, Google Gemini or a model you host yourself. Anything outside a pre-built action runs through an API, protocol or database call, or as Rules + Code in Python, Bash, Go, Java, .NET, PHP, PowerShell or JavaScript/TypeScript, with the same approvals and audit.
Does the summary cover every file, application and open task?
No; it covers the records available in the approved scope and asks the manager to resolve gaps rather than implying a complete asset discovery.
Does a departure automatically disable the account?
Not in this use case; the identity change requires the designated approval and is executed by a separate workflow step.
