Invoice reading and controlled posting

Finance retypes inconsistent PDFs, scans and email invoices, then reconstructs how the values reached SAP. Incoming invoices become validated SAP posting proposals with unreadable fields and finance decisions kept visible.

Trigger source: Microsoft Teams

The model step runs against the AI provider you choose, including Anthropic, Google Gemini or a model you host yourself. Anything outside a pre-built action runs through an API, protocol or database call, or as Rules + Code in Python, Bash, Go, Java, .NET, PHP, PowerShell or JavaScript/TypeScript, with the same approvals and audit.

How it starts: A supplier invoice arrives in the designated Microsoft 365 mailbox or is released by accounts payable for processing.

Step by step

How the process runs

  1. 01

    Capture the submission

Microsoft 365 supplies the invoice message and attachments with their source references.

  2. 02

    Read the invoice

The selected model extracts supplier, invoice number, dates, currency, amounts and line detail, linking values to source text and marking anything uncertain.

  3. 03

    Validate the proposal

Rules check required fields, arithmetic, duplicate references and permitted SAP supplier and accounting mappings.

  4. 04

    Review the exceptions

Accounts payable sees the document beside the proposed fields and resolves missing, conflicting or unreadable values.

  5. 05

    Submit the approved version

A separate SAP step submits only the reviewed posting payload and records the destination response.

Control

Human decision and exception path

Human decision

The named finance approver accepts or corrects the posting proposal before any SAP document is posted. A material change after approval returns the proposal to validation and review.

Exception path

  • Unreadable pages or missing invoice fields hold the document for manual completion rather than guessed values.
  • Suspected duplicates and inconsistent totals route to accounts payable before posting.
  • SAP rejections or uncertain submission outcomes are reconciled against destination references before another attempt.

Evidence

What gets audited

  • Source email, attachment reference and permitted extraction context.
  • Model output, instruction version and field-validation results.
  • Finance corrections, approval identity and timestamp.
  • Approved SAP payload, response and document reference.

FAQ

Questions about this use case

Does Nexus replace any of these systems?
No. Each system keeps its own records. Nexus runs the process between them and records each decision.
How does the run start?
A supplier invoice arrives in the designated Microsoft 365 mailbox or is released by accounts payable for processing.
What if a step is not covered by a pre-built action?
The model step runs against the AI provider you choose, including Anthropic, Google Gemini or a model you host yourself. Anything outside a pre-built action runs through an API, protocol or database call, or as Rules + Code in Python, Bash, Go, Java, .NET, PHP, PowerShell or JavaScript/TypeScript, with the same approvals and audit.
What happens when the model misreads a supplier or amount?
The proposed values remain separate from the approved payload; validation and finance review resolve the error before posting.
Can invoice data stay inside our environment?
Yes, with an appropriately hosted local model and permitted source connectivity; choosing an external model provider sends the selected content to that service.
