Commerce & Finance integration
Carry an approved Coupa invoice through the SAP finance handoff.
Invoice approval is only one stage of procure-to-pay. Nexus can check the approved Coupa record against SAP supplier, purchase-order and accounting context, submit the configured ERP operation and return the resulting reference or exception to the purchasing team.
The problem
Why Coupa + SAP needs a governed process
An invoice may be approved in Coupa yet still lack a valid SAP supplier mapping, receipt reference or accounting assignment. Teams then exchange spreadsheets and screenshots to determine whether it was posted, rejected or already submitted. Approval status alone does not answer those questions.
Responsibility
How the systems divide responsibility
Spend and invoice workflow
Coupa
Supplier-facing invoice information and the invoice approval state used by the handoff.
Procurement and accounting record
SAP
ERP supplier references, purchase orders, receipts, accounting documents and payment-processing status.
Capabilities
What Nexus orchestrates
Pre-built action groups used in this pattern. Anything else runs through an API, protocol or database step, or Rules + Code, in the same workflow.

How work starts
Webhook, schedule or API poll
An invoice completes the required Coupa approval, or a corrected invoice becomes eligible for resubmission.

Workflow patterns
What teams run across Coupa + SAP
01
Approved invoice to SAP
Validate supplier identity, company, currency and required accounting fields before submitting the permitted invoice operation.
02
Purchase-order and receipt check
Read SAP order and receipt context and compare quantities and amounts against configured tolerances. Differences go to the responsible buyer or accounts-payable owner.
03
Posting status back to procurement
Return the SAP reference and processing outcome so the Coupa record distinguishes approval from successful ERP processing.
04
Supplier and coding exception review
Assemble the missing mapping or disputed coding with both source references, allowing correction before posting is attempted.
Direction and ownership
Which way each change moves
Approved Coupa invoice data moves toward SAP for the agreed validation and posting process. SAP document references and permitted status values return to the linked Coupa invoice. Procurement ownership and any requisition flows are defined separately from the invoice handoff.
Coupa SAP
Approved invoice headers, lines, supplier references and purchase-order context.
SAP Coupa
ERP document references, posting outcomes and selected payment status.
Control
Approvals and exception handling
Human approval
Matching discrepancies, non-standard coding and changes to an approved invoice pause for the named procurement or finance owner. Approval releases only the reviewed version; a changed amount or supplier can require validation again before submission.
Exceptions
- Unknown suppliers, missing receipts or incomplete coding hold the invoice with a specific correction reason.
- SAP rejections retain the request and response; resubmission follows the configured correction policy.
- Existing external references and destination documents are checked before a second posting attempt.
Security, audit and deployment
Every run leaves a reviewable record
- The Coupa invoice version and approval state selected for processing.
- SAP order or receipt context and the tolerance rules applied.
- Reviewer identity, decision and timestamp for any exception.
- Posting request, response and linked SAP document reference.
Credentials for Coupa and SAP are held in the vault and used only by the steps that need them. Role-based permissions decide who can edit, approve and run the workflow. Nexus runs on premises, in private cloud or air-gapped, so the execution record stays inside your deployment boundary. Governance and audit

See this run against your Coupa and SAP
Bring the process you run today. We map which system owns what, where approval belongs and the steps each side needs, against your own Coupa and SAP, not a generic environment.
- The Coupa + SAP workflow built and run end to end.
- Where a person is asked to approve, and what they see.
- The execution record an auditor would read afterwards.
- What it takes to run this inside your own deployment boundary.

FAQ
Coupa + SAP questions
- Does Coupa approval mean the invoice can always be posted?
- No. Supplier mappings, accounting requirements, receipt conditions and open periods still need to pass the destination checks.
- Are requisitions included in the pre-built Coupa actions?
- The supplied action coverage is invoice-focused. Requisition or other procurement operations can be designed through available APIs or code after checking the required access.
- Does returning payment status initiate payment?
- No. Reading and returning status is a separate operation from initiating a payment. Payment authority stays with the agreed finance process.
