Enterprise use case · OpenAI + Coupa + SAP

Contract terms against supplier invoices

Rates, renewal clauses and charging conditions sit in documents that finance must reread whenever an invoice looks wrong. Invoice reviewers see specific differences between the supplier charge and the applicable contract terms.

The SAP-linked contract document is resolved through an authorized API or code step, with access and provenance included in the workflow. The model step runs against the AI provider you choose, including Anthropic, Google Gemini or a model you host yourself. Anything outside a pre-built action runs through an API, protocol or database call, or as Rules + Code in Python, Bash, Go, Java, .NET, PHP, PowerShell or JavaScript/TypeScript, with the same approvals and audit.

How it starts: A Coupa invoice is released for contract verification against the relevant SAP supplier or procurement context.

Step by step

How the process runs

  1. 01

    Select the applicable agreement

Retrieve the authorized contract document and amendments through the configured SAP document or API interface.

  2. 02

    Read the terms

The selected model extracts rates, units, dates and charging conditions with references to the relevant clauses.

  3. 03

    Compare the charge

Rules calculate numerical differences while the model identifies semantic conflicts, such as a charge excluded by the applicable clause.

  4. 04

    Prepare the review

Present the invoice line, cited contract passage and proposed discrepancy category to the responsible contract or finance owner.

  5. 05

    Apply the decision

A separate workflow step performs the approved invoice hold, correction request or permitted SAP accounting action.

Control

Human decision and exception path

Human decision

A named contract owner resolves ambiguous terms, and the authorized finance owner approves any change to a charge, posting or payment treatment. Model interpretation does not amend the agreement or establish a new contractual entitlement.

Exception path

  • Missing amendments or uncertain contract applicability hold the comparison for document review.
  • An unreadable clause or unsupported interpretation is marked unresolved rather than converted into a definite finding.
  • Invoice or contract changes require a fresh comparison before the earlier decision can be reused.

Evidence

What gets audited

  • Contract version, amendments and invoice references.
  • Extracted terms, cited passages and comparison calculations.
  • Interpretation decisions and named finance approvals.
  • Approved destination actions and system responses.

FAQ

Questions about this use case

Does Nexus replace any of these systems?
No. Each system keeps its own records. Nexus runs the process between them and records each decision.
How does the run start?
A Coupa invoice is released for contract verification against the relevant SAP supplier or procurement context.
What if a step is not covered by a pre-built action?
The SAP-linked contract document is resolved through an authorized API or code step, with access and provenance included in the workflow. The model step runs against the AI provider you choose, including Anthropic, Google Gemini or a model you host yourself. Anything outside a pre-built action runs through an API, protocol or database call, or as Rules + Code in Python, Bash, Go, Java, .NET, PHP, PowerShell or JavaScript/TypeScript, with the same approvals and audit.
Does this provide a binding interpretation of the contract?
No; the model identifies relevant wording and possible discrepancies for the responsible people to decide.
