Commerce & Finance integration

Connect Stripe transactions to the NetSuite documents finance works from.

Nexus can match Stripe customers and payment events to NetSuite invoices, separate fees from settlement amounts and prepare the approved accounting action. Subscription changes, refunds and disputes retain their original transaction context instead of entering finance as disconnected adjustments.

The problem

Why Stripe + NetSuite needs a governed process

The payout received in the bank rarely explains every underlying charge by itself. Finance needs to distinguish customer payments, fees, refunds and timing differences, often across entities or currencies. A transaction feed without matching and ownership rules merely moves the reconciliation work into another screen.

Responsibility

How the systems divide responsibility

Payment-provider record

Stripe

Charges, refunds, subscriptions, payment-provider invoices where used and settlement activity.

ERP financial record

NetSuite

Customers, ERP invoices, receivables and the resulting accounting documents.

Capabilities

What Nexus orchestrates

Pre-built action groups used in this pattern. Anything else runs through an API, protocol or database step, or Rules + Code, in the same workflow.

How work starts

Stripe, webhook or schedule

A payment or refund reaches its processing state, a subscription billing change is approved, or a settlement becomes available for reconciliation.

Workflow patterns

What teams run across Stripe + NetSuite

01

Invoice and payment matching

Resolve the Stripe transaction to the correct NetSuite customer, entity and invoice before preparing application or clearing.

02

Net settlement breakdown

Assemble the charge, fee and adjustment components of a payout and compare the result with the expected clearing total.

03

Subscription change review

Compare the accepted commercial change with the ERP billing record and route the required adjustment without creating a second invoice stream.

04

Refund and dispute reconciliation

Find the original transaction and ERP reference, then prepare the finance-approved treatment for the changed payment state.

Direction and ownership

Which way each change moves

Stripe supplies the event and settlement detail used to match NetSuite financial records. NetSuite owns the accounting result. Permitted reconciliation references can return to Stripe, while detailed posting outcomes remain attached to the workflow and ERP document.

  • Stripe NetSuite

Matched payments, refunds, fees and billing context for the configured accounting operation.

  • NetSuite Stripe

Approved ERP references or reconciliation markers supported by the selected Stripe object.

Control

Approvals and exception handling

Human approval

Unallocated payments, disputed adjustments and differences outside the configured tolerance wait for the finance owner. The reviewed action proceeds after approval; rejected items remain outstanding with a reason rather than being marked reconciled.

Exceptions

  • Unmatched customers or invoices stay in a correction queue with their Stripe references.
  • Entity, currency or settlement mismatches block posting until finance resolves the mapping.
  • Event and destination-document checks precede retries, including reconciliation when an earlier response was inconclusive.

Security, audit and deployment

Every run leaves a reviewable record

  • Provider event, transaction and payout references.
  • Invoice matching, entity selection and fee calculations.
  • Applied accounting rules and any approval decision.
  • NetSuite request, response and linked financial document.

Credentials for Stripe and NetSuite are held in the vault and used only by the steps that need them. Role-based permissions decide who can edit, approve and run the workflow. Nexus runs on premises, in private cloud or air-gapped, so the execution record stays inside your deployment boundary. Governance and audit

Bring the process you run today. We map which system owns what, where approval belongs and the steps each side needs, against your own Stripe and NetSuite, not a generic environment.

  • The Stripe + NetSuite workflow built and run end to end.
  • Where a person is asked to approve, and what they see.
  • The execution record an auditor would read afterwards.
  • What it takes to run this inside your own deployment boundary.

FAQ

Stripe + NetSuite questions

Can a payout be posted as one customer payment?
That depends on the accounting design. A payout can combine several transactions and adjustments, so the workflow first preserves its underlying breakdown.
Are all NetSuite payment operations pre-built?
The stated action coverage includes invoices, contracts, items and base operations. Required payment, journal or clearing operations are checked separately and can use available APIs or code.
Does Nexus become the financial ledger?
No. NetSuite keeps the accounting records. Nexus coordinates the process and records the source-to-destination evidence.
