Commerce & Finance integration

Move approved Concur expense data into the right NetSuite accounting process.

Nexus can validate expense and budget context from SAP Concur against NetSuite entities, accounts and cost assignments before preparing the required ERP operation. Finance retains authority over posting, while source references and processing outcomes stay connected to the approved submission.

The problem

Why SAP Concur + NetSuite needs a governed process

Approval in the expense process does not establish the destination accounting treatment. Employee references, currencies, tax fields, cost centres and reimbursement arrangements still need to match NetSuite. Budget availability is also not proof that an expense has been posted or paid.

Responsibility

How the systems divide responsibility

Expense and budget context

SAP Concur

The source expense approval record where enabled, and the budget data used by the configured process.

ERP accounting record

NetSuite

Destination entities, accounting records and the resulting financial documents.

Capabilities

What Nexus orchestrates

Pre-built action groups used in this pattern. Anything else runs through an API, protocol or database step, or Rules + Code, in the same workflow.

  • Budget Category5
  • Budget Item4
  • Budget Adjustments1

NetSuite

How work starts

Webhook, schedule or API poll

An expense submission is approved for ERP processing, a correction is released, or an agreed budget update requires validation against finance data.

Workflow patterns

What teams run across SAP Concur + NetSuite

01

Expense-to-account mapping

Resolve employee or payee identifiers, entity, currency and expense categories to the agreed NetSuite accounting values.

02

Approved expense handoff

Validate the released expense version and submit the configured bill, journal or other permitted finance operation.

03

Budget context check

Compare selected Concur budget values with the agreed ERP reference context and route discrepancies without treating budgets as actual expenditure.

04

Processing-result return

Link the NetSuite document or rejection to the originating submission so the expense owner can distinguish approval from successful posting.

Direction and ownership

Which way each change moves

Approved Concur expense data and selected budget context move to NetSuite for the agreed accounting handoff. NetSuite references and processing results return to an approved source field or reporting destination. Budget synchronization is designed separately from expense posting and reimbursement.

  • SAP Concur NetSuite

Approved expense detail and selected budget references available through the customer's licensed interfaces.

  • NetSuite SAP Concur

Permitted posting references, rejection reasons and processing outcomes through an available return interface.

Control

Approvals and exception handling

Human approval

Unmapped categories, changed amounts and accounting exceptions wait for the designated expense or finance owner. Approval releases the reviewed submission; a later source change can require a fresh validation and approval before posting.

Exceptions

  • Missing payee, account or entity mappings hold the affected submission.
  • Closed periods or invalid tax and currency combinations retain the NetSuite rejection for finance correction.
  • Source submission versions and destination references are reconciled before resubmission to avoid duplicate expense recognition.

Security, audit and deployment

Every run leaves a reviewable record

  • Source submission identifier, version and approval state.
  • Expense-category, entity and accounting mappings used.
  • Validation results and any named approval with timestamp.
  • NetSuite request, response and linked financial document.

Credentials for SAP Concur and NetSuite are held in the vault and used only by the steps that need them. Role-based permissions decide who can edit, approve and run the workflow. Nexus runs on premises, in private cloud or air-gapped, so the execution record stays inside your deployment boundary. Governance and audit

FAQ

SAP Concur + NetSuite questions

Are expense-report operations included in the listed Concur actions?
The provided action list is budget-focused. Expense-report retrieval and return operations need the appropriate Concur APIs, modules and permissions, implemented through integration or code steps where required.
Is expense posting the same as employee reimbursement?
No. Posting and reimbursement have separate owners and release conditions; the workflow only performs the operations included in the agreed design.
Can this include budget adjustments?
Yes, where the required budget operations are available. Budget changes remain separate from actual expense and payment records.
