CRM & ERP integration

Carry the Salesforce deal into NetSuite without re-entering the agreement.

Nexus can validate the customer, items, entity and commercial terms behind a Salesforce opportunity, then run the agreed NetSuite order or invoicing handoff. The resulting references and permitted finance status return to the sales record in the same controlled process.

The problem

Why Salesforce + NetSuite needs a governed process

A closed-won deal is not a complete ERP instruction. Sales and finance can use different customer identifiers, item codes, currencies and billing schedules. When the missing context is filled in by email, the invoice may no longer reflect the version of the agreement that was approved.

Responsibility

How the systems divide responsibility

Commercial relationship record

Salesforce

Accounts, contacts, opportunities, quotes and approved commercial intent.

ERP and financial record

NetSuite

ERP customers, items, contracts, invoices and the configured order-processing records.

Capabilities

What Nexus orchestrates

Pre-built action groups used in this pattern. Anything else runs through an API, protocol or database step, or Rules + Code, in the same workflow.

  • CPQ Quote8
  • CPQ Approval1

NetSuite

Architecture

One governed run across both systems

How work starts

Salesforce (SOQL polling), webhook or schedule

An opportunity or quote reaches the agreed approval stage, or a commercial change is released for finance review.

Workflow patterns

What teams run across Salesforce + NetSuite

01

Customer and item validation

Match the account and quote lines to the permitted NetSuite entity and item records before attempting a transaction.

02

Approved deal to ERP document

Translate commercial terms into the configured sales-order or invoice operation, retaining the Salesforce agreement reference.

03

Invoice visibility for sales

Return invoice references and agreed finance status to the opportunity or account so sales can follow the handoff.

04

Post-sale amendment review

Compare a revised quote with the ERP documents already created and route changes through the permitted amendment process.

Direction and ownership

Which way each change moves

The approved Salesforce record supplies the commercial instruction. NetSuite controls the ERP document and accounting state. NetSuite identifiers and selected processing results return to Salesforce; CRM changes do not overwrite posted financial records.

  • Salesforce NetSuite

Validated customer, item, quote or opportunity data for the agreed order-to-invoice process.

  • NetSuite Salesforce

Customer cross-references, ERP document links and selected invoice or processing status.

Control

Approvals and exception handling

Human approval

Unmapped items, unusual billing terms and changes after ERP acceptance wait for the commercial or finance owner. Approval releases the reviewed document request; rejection returns a correction reason without modifying an existing posted invoice.

Exceptions

  • Missing entity, customer or item mappings stop the transaction before creation.
  • NetSuite validation failures retain the attempted document and response for correction.
  • Source-to-document references are checked before creation, and uncertain submissions are reconciled before retry.

Security, audit and deployment

Every run leaves a reviewable record

  • Opportunity or quote version and approved commercial values.
  • Entity, item and customer mappings with validation results.
  • Any exception approval, reviewer and timestamp.
  • NetSuite request, response and document reference returned to Salesforce.

Credentials for Salesforce and NetSuite are held in the vault and used only by the steps that need them. Role-based permissions decide who can edit, approve and run the workflow. Nexus runs on premises, in private cloud or air-gapped, so the execution record stays inside your deployment boundary. Governance and audit

See this run against your Salesforce and NetSuite

Bring the process you run today. We map which system owns what, where approval belongs and the steps each side needs, against your own Salesforce and NetSuite, not a generic environment.

  • The Salesforce + NetSuite workflow built and run end to end.
  • Where a person is asked to approve, and what they see.
  • The execution record an auditor would read afterwards.
  • What it takes to run this inside your own deployment boundary.

FAQ

Salesforce + NetSuite questions

Does closed-won automatically create an invoice?
Not necessarily. The next step can be an order, finance review or invoice, according to your actual billing process.
Are sales-order actions included in the stated NetSuite action coverage?
The supplied coverage lists invoices, contracts, items and base operations. A required sales-order operation is checked separately and can use an available API or code within the workflow.
How are amendments handled after invoicing?
They follow the finance-approved adjustment process. The integration does not treat a posted invoice as an editable copy of the opportunity.
