CRM & ERP integration
Give finance a usable NetSuite handoff from the HubSpot deal.
Nexus can take the agreed HubSpot deal version through customer matching, item validation and billing checks before submitting the required NetSuite document. ERP references and selected invoice status return to the sales team without turning CRM into another accounting system.
The problem
Why HubSpot + NetSuite needs a governed process
Sales marks the deal won, but finance still needs the right legal customer, subsidiary, currency and billing detail. A CRM company may correspond to several ERP entities. When those choices are made outside the handoff, sales cannot tell which agreement became which invoice.
Responsibility
How the systems divide responsibility
Commercial engagement record
HubSpot
Companies, contacts, deals and the sales-approved commercial context.
ERP and billing record
NetSuite
ERP customer records, items, contracts, invoices and transaction processing.
Capabilities
What Nexus orchestrates
Pre-built action groups used in this pattern. Anything else runs through an API, protocol or database step, or Rules + Code, in the same workflow.

Workflow patterns
What teams run across HubSpot + NetSuite
01
Legal-customer matching
Resolve the CRM company to the correct NetSuite customer and entity, with review for competing matches.
02
Billing-readiness validation
Check currency, item references and the agreed billing schedule before a transaction request is prepared.
03
Deal-to-document handoff
Create the configured invoice, contract or API-based order operation from the approved deal version, then link the resulting reference.
04
Amendment routing
Compare revised deal values with documents already accepted by NetSuite and route changes through the appropriate finance process.
Direction and ownership
Which way each change moves
HubSpot supplies validated commercial intent for a defined NetSuite entity and process. NetSuite returns its identifiers and permitted financial status. Customer creation, order creation and invoicing are separate decisions, not implied by a single bidirectional sync setting.
HubSpot NetSuite
Approved company, deal and line-level billing information for the configured ERP operation.
NetSuite HubSpot
Matched customer identifiers, linked ERP documents and selected invoice status.
Control
Approvals and exception handling
Human approval
Entity selection, new customer creation and exceptions to billing terms wait for the finance or commercial owner. Approval releases the reviewed values; rejection returns the missing or disputed detail to the deal owner.
Exceptions
- Incomplete billing information holds the handoff with the missing properties identified.
- Multiple ERP customer matches require review before creation or update.
- Destination validation failures and uncertain writes retain their context for reconciliation before another attempt.
Security, audit and deployment
Every run leaves a reviewable record
- Deal version and commercial values approved for transfer.
- Chosen ERP entity, customer and item mappings.
- Validation rules and any reviewer decision with timestamp.
- NetSuite request, response and document link returned to HubSpot.
Credentials for HubSpot and NetSuite are held in the vault and used only by the steps that need them. Role-based permissions decide who can edit, approve and run the workflow. Nexus runs on premises, in private cloud or air-gapped, so the execution record stays inside your deployment boundary. Governance and audit

FAQ
HubSpot + NetSuite questions
- Can one HubSpot company map to multiple NetSuite customers?
- Yes, where the business structure requires it. The workflow must select the correct entity and customer for each transaction rather than guessing from the company name.
- Can this create sales orders as well as invoices?
- The required NetSuite operation is checked during design. Invoice, contract and item coverage is listed in the brief; order operations can use available APIs or code where needed.
- Will an edited deal change an existing invoice?
- Not automatically. Changes after ERP acceptance follow the approved adjustment process and preserve the original document reference.
