HR & Identity integration
Turn Workday joiner, mover and leaver events into governed ServiceNow work.
Nexus can translate an approved employment change into the ServiceNow requests, tasks or changes your IT process requires. Effective dates, employee identifiers, approvals and completion results stay linked, so HR can see whether the operational work actually happened.
The problem
Why Workday + ServiceNow needs a governed process
A new starter is confirmed in Workday, but access, equipment and support tasks are coordinated through separate messages. Transfers leave old responsibilities behind. Departures can be marked complete in HR while unresolved IT tasks remain assigned to nobody.
Responsibility
How the systems divide responsibility
Employment source
Workday
Worker identity, employment status, manager, organizational assignment and effective dates.
IT execution and service record
ServiceNow
Service requests, incidents, changes, task assignments and managed asset context.
Capabilities
What Nexus orchestrates
Pre-built action groups used in this pattern. Anything else runs through an API, protocol or database step, or Rules + Code, in the same workflow.

Architecture
One governed run across both systems
How work starts
ServiceNow, webhook or schedule
A hire is approved, a transfer is confirmed or an employment end date is recorded. A correction to a previously submitted change can initiate a review of the associated IT work.
When a pre-built action does not cover it
Workflow patterns
What teams run across Workday + ServiceNow
01
New-starter preparation
Create the configured IT request with role, location and start-date context. Assign the required equipment and access tasks to their fulfillment owners.
02
Role-change review
Compare the new assignment with the previous one and raise work to add, adjust or remove the relevant entitlements.
03
Departure coordination
Prepare the approved offboarding tasks for the effective date, including access removal and asset-return follow-up.
04
HR-to-IT completion check
Reconcile the employment event with linked tasks and report unfinished work without changing the original HR event.
Direction and ownership
Which way each change moves
Approved Workday events initiate the corresponding ServiceNow process. ServiceNow returns request references, task outcomes and unresolved exceptions. Actual access or asset changes are performed by the designated fulfillment system or team, not assumed complete because a ticket exists.
Workday ServiceNow
Minimum required worker details, employment event, effective date and fulfillment requirements.
ServiceNow Workday
Linked request references and permitted completion or exception summaries.
Control
Approvals and exception handling
Human approval
Requests for privileged access, exceptional equipment or altered termination timing wait for the designated manager, access owner or HR authority. Fulfillment proceeds after approval; rejected requests retain the reason and remain visible against the employment event.
Exceptions
- Missing manager, location or worker mapping routes the event for correction before request creation.
- Cancelled or changed employment events trigger review of open IT work instead of silently deleting its history.
- Unfinished or failed fulfillment steps stay open for escalation; ticket creation is not treated as proof of completion.
Security, audit and deployment
Every run leaves a reviewable record
- Employment event, effective date and minimum worker context used.
- Request mapping, workflow rule version and ServiceNow references.
- Any named approval with its decision and timestamp.
- Fulfillment responses, task outcomes and unresolved exceptions.
Credentials for Workday and ServiceNow are held in the vault and used only by the steps that need them. Role-based permissions decide who can edit, approve and run the workflow. Nexus runs on premises, in private cloud or air-gapped, so the execution record stays inside your deployment boundary. Governance and audit

FAQ
Workday + ServiceNow questions
- Does creating a ServiceNow request grant access?
- No. Access is granted only by the configured fulfillment action or responsible team, with its outcome recorded separately.
- Can HR receive status without copying the entire IT ticket?
- Yes. The return flow can expose only the agreed status, reference and exception summary through an available field or approved reporting destination.
- How are confidential departure details handled?
- The design limits fields and destination permissions to the people and systems that need them. Sensitive HR notes do not need to be copied into general IT queues.
