CRM & ERP integration
Make the HubSpot deal ready for SAP before it leaves the sales team.
Nexus can translate HubSpot companies, contacts and deals into a governed SAP handoff. Customer identity, company assignment, product mapping and commercial checks are resolved before ERP document creation, with the resulting references returned to CRM.
The problem
Why HubSpot + SAP needs a governed process
A deal stage can be complete for sales while essential SAP fields are still missing. A company name is not a reliable ERP customer identifier, and a deal value does not explain its products, tax treatment or fulfillment requirements. Re-keying fills the gaps but loses the connection to the original agreement.
Responsibility
How the systems divide responsibility
Sales and customer-engagement record
HubSpot
Companies, contacts, deals and the commercial information captured by the sales process.
Fulfillment and finance record
SAP
ERP customers, products, sales orders, invoices and accounting documents.
Capabilities
What Nexus orchestrates
Pre-built action groups used in this pattern. Anything else runs through an API, protocol or database step, or Rules + Code, in the same workflow.

How work starts
Webhook, schedule or API poll
A deal reaches the handoff stage agreed by sales and finance, or its missing information is corrected and released for another validation pass.
When a pre-built action does not cover it
Workflow patterns
What teams run across HubSpot + SAP
01
Deal-readiness check
Validate the company, billing information and required deal properties. Return a specific correction request before submitting anything to SAP.
02
Company-to-customer matching
Match HubSpot companies against SAP customer references and ask a data owner to resolve ambiguous identities.
03
Approved deal to sales order
Build the SAP order request from validated commercial data and mapped product lines, using the interface permitted by the SAP installation.
04
Fulfillment visibility in HubSpot
Return selected SAP order and invoice status to agreed CRM properties so the account team can track what happened after handoff.
Direction and ownership
Which way each change moves
An approved HubSpot deal sends the agreed commercial fields to SAP. SAP returns document references and selected processing status. Ownership is defined field by field, so a CRM correction does not silently change ERP master data or posted documents.
HubSpot SAP
Approved deal, company and contact context with mapped order lines where required.
SAP HubSpot
ERP customer or document identifiers, validation outcomes and selected order or invoice status.
Control
Approvals and exception handling
Human approval
New customer mappings, non-standard terms and product substitutions wait for the designated sales or finance owner. Approved values are submitted to SAP; rejected records remain in correction with the failed check and responsible owner visible.
Exceptions
- Missing line detail or required ERP fields holds the deal instead of inventing defaults.
- Ambiguous company matches go to review rather than creating another customer automatically.
- SAP rejections and uncertain submissions are investigated using the linked deal and destination reference before resubmission.
Security, audit and deployment
Every run leaves a reviewable record
- HubSpot deal and company values used for the handoff.
- Customer and product matching results and mapping version.
- Any commercial approval, reviewer and time of decision.
- SAP request, response and status written back to CRM.
Credentials for HubSpot and SAP are held in the vault and used only by the steps that need them. Role-based permissions decide who can edit, approve and run the workflow. Nexus runs on premises, in private cloud or air-gapped, so the execution record stays inside your deployment boundary. Governance and audit

Bring the process you run today. We map which system owns what, where approval belongs and the steps each side needs, against your own HubSpot and SAP, not a generic environment.

- Where a person is asked to approve, and what they see.
- The execution record an auditor would read afterwards.

FAQ
HubSpot + SAP questions
- What if our HubSpot deals do not contain order lines?
- The design needs an approved source for those lines or a defined simpler ERP transaction. A total deal value is not converted into invented product detail.
- Can we keep SAP as the customer-master authority?
- Yes. HubSpot can retain the ERP reference while SAP owns the agreed billing and fulfillment fields.
- Do we need a pre-built action for every SAP operation?
- No. Available SAP RFC, HTTP, SOAP or code steps can extend the handoff within the same approval and execution record.
